BoatBalance helps dragon boat teams manage team operations, availability, boat assignments, equipment, communications, reports, and related workflows. This Privacy Policy explains what information we collect, how we use it, how communications are handled, and the choices available to users and teams.
Information We Collect
BoatBalance may collect account and contact information such as names, email addresses, mobile phone numbers, team roles, login details, and authentication information. Teams may also enter roster information, availability responses, event attendance, boat assignment details, profile photos, paddling preferences, side restrictions, weights, heights, equipment records, notes, uploaded documents, guest intake details, waiver information, and communications preferences.
We may collect technical information such as device, browser, IP address, log data, usage activity, and information needed to operate, secure, and improve the platform.
How We Use Information
We use information to provide and improve BoatBalance, manage accounts and teams, support scheduling and availability, create boat assignments, generate reports, operate guest intake and waiver workflows, track equipment, send team and platform communications, provide support, protect the security of the service, and comply with legal obligations.
Communications
BoatBalance enables authorized team administrators and coaches to communicate with their members using email, SMS/text messages, WhatsApp, and future app push notifications. Communications may include invitations, availability requests, practice reminders, event updates, attendance requests, schedule changes, weather or safety updates, account notices, trial request follow-up, support messages, and other team or platform-related notices.
Message frequency varies depending on team activities, events, and account usage.
BoatBalance does not use SMS, WhatsApp, or other messaging channels for advertising or promotional marketing through this messaging program. Communications are limited to operational team and account-related notifications.
SMS Consent
Users receive SMS/text messages only after providing express consent during account registration by selecting an unchecked consent checkbox. Consent is not a condition of purchase.
Operational SMS messages may include practice reminders, event updates, attendance requests, schedule changes, weather or safety alerts, account notifications, and other team-related communications.
Message frequency varies. Message and data rates may apply based on your mobile carrier plan.
Opt-Out Rights
You may opt out of non-essential communications at any time.

WhatsApp: You may opt out of WhatsApp communications by replying with an opt-out request where supported, blocking the sender, changing your communication preferences where available, or contacting BoatBalance at hello@boatbalance.com.

BoatBalance honors opt-out requests in accordance with applicable messaging requirements. Essential account and security notifications cannot be disabled while your account remains active.
How Information Is Shared
BoatBalance does not sell, rent, or share personal information with third parties for their own advertising or marketing purposes.
BoatBalance shares personal information only with trusted service providers as necessary to operate the platform and provide requested services, including hosting, email delivery, messaging, file storage, payment processing, analytics, security, and customer support.
These service providers are permitted to process personal information only on behalf of BoatBalance to provide those services and are not authorized to use it for their own advertising or marketing purposes.
Information may also be visible to authorized coaches, team administrators, or other authorized users within the same BoatBalance team workspace based on roles and permissions.
Data Ownership
Teams and customers own their roster, event, equipment, communications, uploaded files, and team data. BoatBalance processes that information to provide the platform.
Data Security and Retention
We use reasonable administrative, technical, and organizational safeguards designed to protect information. No system can be guaranteed to be completely secure. We retain information as needed to provide the service, support teams, comply with legal obligations, resolve disputes, and enforce agreements.
